Import invoices from a spreadsheet
Prepare a CSV or XLSX file, map its columns, and verify the imported records.

Prepare the file
- Use CSV or XLSX. For an Excel workbook, place the invoice data on the first worksheet with column headers in its first row. Legacy XLS files are not supported.
- Include an amount, due date, invoice number, and customer name for every invoice. Use consistent invoice identifiers and unambiguous dates.
- Include the current payment status and customer contact details where available. Verify these values before import; do not treat an old export as current payment information.
- Decide whether this is a complete current-state export or a partial update. Ask your account owner to review CSV snapshot settings before importing a partial file.
Upload and map your columns
- Open Invoices (or Records) and choose Import invoices. You can also reach the import screen from the CSV integration settings.
- Choose your file or drop it into the upload area.
- In Map your columns, match Amount, Due date, Invoice number, and Customer to the corresponding file headers. Review any suggested mappings and adjust them yourself.
- Map optional contact and status columns if present. For additional columns, choose whether to store them on the customer or invoice, or leave them unimported. Use the restricted classification for sensitive identifiers.
- Review the preview, particularly the customer, amount, date, and paid status. Confirm the snapshot choice is appropriate for this file.
- Choose Import and wait for the invoices screen. Review the result and compare several imported records against your source file before starting follow-up.
Be careful with snapshot imports
Snapshot mode treats a complete export as a current view of receivables. It can affect how previously imported invoices that disappear from the export are reconciled. A partial list, a single customer’s file, or a filtered report is not a complete snapshot.
If you are unsure how your account is configured, ask your account owner or support before importing. After an import, investigate any custom-field warning separately and check whether the invoice rows were already saved before retrying.
